1. Information we collect
Abroad Road CRM collects information that is submitted through lead forms, imported into the system, or generated by team activity inside the workspace.
- Lead contact details: name, phone number, email, organisation name, and any details voluntarily entered on enquiry forms.
- Source information: campaign, advertisement, affiliate, referral source, and form attribution data.
- CRM activity: assignment history, follow-up notes, stage movement, payment status, document checklist items, and other operational events recorded by team members.
- Technical data: standard web logs such as IP address, browser type, and device when forms are submitted (used only for fraud prevention and analytics).
2. How we use information
Information is used solely to operate the CRM and serve the legitimate business needs of the organisation deploying it.
- To contact leads who have requested information, counselling, demo classes, or admission discussions.
- To assign leads, schedule meetings, and track progress inside the CRM dashboard.
- To support internal reporting, source ROI measurement, and pipeline analysis for owners and managers.
- To respond to enquiries about Abroad Road CRM itself (demos, sales, support).
- To comply with applicable legal obligations and prevent misuse.
3. Sharing & access
Lead information is only accessible to authorised personnel inside the deploying organisation, with role-based controls.
- Admins & owners can access the full pipeline and reporting view.
- Sub-managers can access leads belonging to their team.
- Counsellors & telecallers can only access leads assigned to them.
- Service providers (hosting, infrastructure, analytics) only see anonymised or operational data necessary to keep the service running.
4. Cookies & tracking
Our landing and marketing pages use cookies and pixels for the following purposes:
- Essential cookies: required for the CRM to function (session, login, security).
- Analytics cookies: Google Analytics / Google Ads tracking to measure form conversion and ad performance.
- Functional cookies: remember filter preferences inside the CRM workspace.
You can disable non-essential cookies in your browser settings. Disabling essential cookies will prevent the CRM from working.
5. Data retention
Lead and CRM activity data is retained for operational, support, and record-keeping purposes for as long as the deploying organisation maintains an active subscription, unless removal is requested earlier.
- Active leads: retained for the duration of the customer relationship.
- Closed / lost leads: retained for analytical reporting, typically for 3 years.
- Account data: deleted within 90 days of subscription termination, unless a longer retention is required by law.
- Backups: encrypted backups may persist for up to 30 days after deletion.
6. Security
We take reasonable, industry-standard steps to protect data stored in Abroad Road CRM:
- Encryption in transit (HTTPS / TLS) for all web traffic.
- Encryption at rest for stored database content.
- Role-based access controls with authenticated user sessions.
- Audit logs of administrative actions and stage changes.
- Secure cloud hosting with restricted network access.
7. Your rights
If you are an individual whose information is stored in a CRM deployment powered by Abroad Road, you may have the right to:
- Access: request a copy of the personal information held about you.
- Correction: request that incorrect or outdated information be corrected.
- Deletion: request removal of your information, subject to legal retention requirements.
